Qubitron Labs (“Company”, “we”, “our”, “us”) provides custom software, web/app development, UI/UX, AI, blockchain and related IT services. This Cancellation & Refund Policy explains when and how cancellations and refunds apply.

1) Scope
This policy covers:
Fixed-price projects, milestone engagements, retainers, and time-and-material (T&M) work.
Digital deliverables (source code, designs, documentation) and subscription-style support plans.
2) Cancellations
Before project start:
You may cancel within 7 calendar days of fee payment and before kickoff. We’ll refund the amount received minus (a) payment gateway charges and (b) any documented pre-kickoff effort (e.g., discovery calls, scoping, draft SOW).
After kickoff / during execution:
You may request cancellation at any time. Work completed up to the cancellation date (including in-progress sprint/milestone) is billable and non-refundable.
Any unused prepaid amount after deducting completed work and committed third-party costs will be refunded.
Retainers & support plans:
Can be cancelled anytime; unused full months are refundable. Partially used months are not refundable.
3) Refunds
A refund may be approved when:
Work for a not-yet-started milestone is fully prepaid and you cancel before that milestone begins.
We materially fail to deliver the agreed scope for a paid milestone and cannot remedy it within a reasonable cure period (typically 14 days) after written notice.
Non-refundable items:
Discovery/SOW fees, express/priority fees, third-party licenses, domain/hosting, cloud usage, paid APIs, audit tools, and any bespoke research already performed.
Downloaded/handed-over digital assets (source code, design files) once delivered or accessed.
Government taxes/levies (GST, etc.) and payment gateway charges.
Refund method & timeline:
Approved refunds are processed to the original payment method within 7–10 working days. Bank timelines may vary.
4) Quality & Revisions
Each milestone includes a defined review/acceptance window (usually 5–7 days). We will address defects against the agreed scope at no extra charge within this window. Change requests or scope additions are billed separately and are not grounds for refund.
5) Chargebacks
Please contact us to resolve billing issues. Unwarranted chargebacks on legitimate invoices may lead to suspension of services, recovery of dues, and associated fees.
6) How to Request Cancellation/Refund
Email billing@qubitronlabs.com or info@qubitronlabs.com with:
Company/Contact name, invoice/PO, project/milestone ID
Reason for cancellation/refund and supporting details
We’ll acknowledge within 2 working days and revert with next steps.
7) Governing Law & Disputes
This policy follows applicable laws of India. Any dispute is subject to the jurisdiction of courts at Jaipur, Rajasthan.
8) Updates
We may revise this policy periodically. The latest version will be available at this URL with an updated effective date.
